Privacy Policy

St Philomena School Ltd. ("the School", "we", "us") respects your privacy and is committed to protecting personal information in accordance with the Privacy Act 1988 (Cth), the Australian Privacy Principles (APPs), and applicable Queensland privacy law.

1. Scope of this Policy

This Privacy Policy applies solely to the Engrave a Brick fundraising activity conducted by St Philomena School in support of the St Joseph's Convent project, and to information collected through this website (stjosephsconvent.org).

It does not apply to the general operations, enrolment, pastoral, educational or other activities of St Philomena School. Separate privacy arrangements apply to those activities and may be requested from the School Administration.

2. Who We Are

St Philomena School is a traditional Catholic independent school operated under the pastoral care of the Society of St Pius X (SSPX), located at Park Ridge, Queensland, Australia. This policy applies to the website stjosephsconvent.org and all personal information collected through it.

3. Information We Collect

When you submit the Engrave a Brick donation form, we collect:

  • Your first and last name
  • Your email address
  • Your phone number
  • The donation tier selected and the engraving text you wish to appear on your brick
  • Any message you choose to include
  • Your payment status selection (paid / will pay later)
  • A system-generated unique payment reference code for reconciliation

We do not collect payment card details through this website. Bank transfers are made directly by you using the bank details displayed on the donation page.

4. Submitted Messages and Engraving Text

If you provide engraving text or a message through this website, please do not include sensitive personal information or personal information about another person unless you are authorised to do so.

You are responsible for the content you submit for engraving or inclusion with your donation. Where engraving text is intended for display on a brick or otherwise made public, you should ensure that any names or other personal details included have been provided with the consent of the relevant person.

5. How We Use Your Information

We use your personal information for the following purposes:

  • to process, record and administer your donation and any related engraving request;
  • to reconcile your bank transfer with your submission, including by using the payment reference you include on your bank transfer;
  • to contact you about your donation, including to confirm engraving details, resolve any issue with your submission, or respond to an enquiry;
  • to issue a receipt for your donation, including a tax-deductible receipt where applicable;
  • to keep internal records relating to donations, fundraising and associated administration;
  • to comply with our legal, accounting and record-keeping obligations; and
  • unless you ask us not to, to send you updates about this fundraising appeal, the relevant project funded by the appeal, and closely related future fundraising activities of the School.

You may opt out of receiving fundraising or campaign updates from us at any time by using the unsubscribe option in the communication (if available) or by contacting us using the details set out in this policy.

If the School wishes to use your personal information for any purpose not reasonably connected with your donation or this fundraising website, we will only do so where permitted by law or with your consent.

6. Disclosure of Information — Third-Party Data Sharing

To operate this website we rely on a small number of third-party service providers. By submitting the donation form, you acknowledge that your personal information will be processed by:

  • Formspark (Esketchers OÜ) — form submission processor. Submissions are transmitted to and stored on Formspark servers (located in the European Union / United States). See formspark.io/privacy.
  • GitHub Pages (GitHub, Inc. / Microsoft Corporation) — website hosting and delivery. GitHub may log standard technical data such as IP address, browser type and request timestamp. Servers are located in the United States. See GitHub Privacy Statement.
  • Cloudflare, Inc. — DNS resolution for the stjosephsconvent.org domain. Cloudflare may briefly process your IP address to route your request. See Cloudflare Privacy Policy.
  • Google Fonts (Google LLC) — delivery of website typography. Your browser may transmit standard request headers (IP, user-agent) when loading fonts. See Google Privacy Policy.
  • Our email provider — submission notifications are forwarded to admin@stphilomena.qld.edu.au and handled by our email service provider for school administration purposes.

We do not sell, rent or trade your personal information. We do not disclose your information to any party other than those listed above, except where required or permitted by Australian law (including valid law-enforcement requests or a court order).

7. Overseas Disclosure

Because Formspark, GitHub, Cloudflare and Google operate servers outside Australia (primarily in the United States and European Union), your personal information may be stored or processed overseas. By submitting the form you consent to this overseas disclosure under APP 8.

8. Data Security

The donation form is transmitted over HTTPS with a valid TLS certificate. Sensitive payment details displayed on the page are protected by a cryptographic tamper-detection mechanism that replaces the details with a warning if they are altered. We take reasonable technical and organisational steps to protect personal information from loss, misuse, unauthorised access and disclosure.

9. Data Retention

Donation submissions are retained for the period required by Australian record-keeping and tax law (typically seven years from the end of the financial year to which they relate) and for as long as reasonably necessary for the purposes described above.

10. Your Rights

Under the Australian Privacy Principles you have the right to:

  • Request access to the personal information we hold about you
  • Request correction of inaccurate or out-of-date information
  • Request deletion of your information (subject to legal retention requirements)
  • Lodge a complaint with us, and if unresolved, with the Office of the Australian Information Commissioner (OAIC) — oaic.gov.au

11. Changes to this Policy

We may update this Privacy Policy from time to time. The effective date at the top of this page will indicate when the current version was published. Continued use of the website after changes are published constitutes acceptance of the updated policy.
